RETREAT CANCELLATION & REFUND POLICY
Brazil Yoga & Wellness Retreat

1. Non-Refundable Payments
All payments made to reserve a place in the Retreat are non-refundable and non-transferable, except as expressly provided in this policy or where a refund is required by applicable law.
By submitting a deposit or full payment, the participant acknowledges that the Retreat organizers make substantial advance financial commitments to secure accommodation, meals, instructors, facilities, transportation arrangements, and other services on behalf of participants. These commitments are often non-refundable to the organizers.
For this reason, a participant's decision not to attend the Retreat, including due to a change in personal circumstances, change of plans, illness, injury, travel difficulties, flight cancellation, employment obligations, family circumstances, or any other personal reason, does not ordinarily entitle the participant to a refund.
PARTICIPANTS ARE STRONGLY ENCOURAGED TO PURCHASE TRAVEL INSURANCE THAT INCLUDES TRIP CANCELLATION, INTERRUPTION, MEDICAL EMERGENCY, AND OTHER COVERAGE APPROPRIATE FOR INTERNATIONAL TRAVEL.
2. Cancellation by the Participant
If a participant wishes to cancel their reservation, they must notify the Retreat organizers in writing by email.
Cancellation does not automatically create a right to a refund.
Any amounts already paid will remain non-refundable unless the organizers determine that an exception is appropriate under the Force Majeure / Exceptional Circumstances provision below or a refund is otherwise required by applicable law.
3. Force Majeure and Exceptional Circumstances
The organizers recognize that extraordinary circumstances can occur that are genuinely outside a participant's reasonable control.
Requests for an exception to the non-refundable policy based on force majeure or extraordinary circumstances will be reviewed on a case-by-case basis and are not automatically approved.
Examples may include, but are not limited to:

Serious and unforeseen medical emergencies;

Natural disasters or other extraordinary events directly preventing the participant from traveling;

Government-imposed travel restrictions or prohibitions;

War, terrorism, civil unrest, or other extraordinary events that make travel objectively unsafe or impossible;

Other circumstances that the organizers reasonably determine constitute genuine force majeure.
The participant may be required to provide reasonable documentation supporting the request.
Approval of an exception is entirely at the discretion of the organizers, except where applicable law provides otherwise. The organizers may, depending on the circumstances and the financial commitments already incurred, offer a partial refund, credit toward a future retreat, transfer to another participant, or another reasonable accommodation.
An exception granted in one circumstance does not establish an obligation to grant the same exception in another circumstance.
4. Transfer of Reservation
A participant may request to transfer their reservation to another person.
Any transfer must be approved in writing by the organizers before the replacement participant attends the Retreat. The replacement participant must satisfy all applicable participation requirements and agree to the Retreat's terms, conditions, waivers, and policies.
Any administrative or third-party costs associated with an approved transfer may be charged to the participant.
A transfer is not guaranteed and does not entitle the original participant to a refund.
5. Cancellation or Material Changes by the Organizers
The organizers reserve the right to cancel, postpone, relocate, or materially modify the Retreat when reasonably necessary due to circumstances beyond their reasonable control, including force majeure, natural disasters, governmental restrictions, public safety concerns, insufficient enrollment, or circumstances affecting the safety or viability of the Retreat.
If the organizers cancel the Retreat, the organizers will communicate the available options to registered participants and will provide any refund or alternative remedy required by applicable law and the specific circumstances of the cancellation.
If the Retreat is postponed or materially modified, the organizers may offer participants the option to transfer their registration to the rescheduled or modified Retreat, subject to the terms communicated at that time.
6. Travel Arrangements
Unless expressly stated otherwise in the Retreat booking agreement, international airfare, domestic airfare, visas, travel insurance, personal transportation, and expenses incurred in traveling to or from the Retreat (in case you miss the event transfer) are the participant's responsibility.
The organizers are not responsible for losses resulting from flight delays, flight cancellations, missed connections, airline schedule changes, passport or visa issues, or other transportation-related circumstances outside the organizers' control.
Participants should make their travel arrangements accordingly and are strongly encouraged to obtain appropriate travel insurance.
7. California Consumer Disclosures
Where California law applies to the transaction, the organizers will provide any disclosures, cancellation terms, registration information, or other information required by applicable California law.
8. Acknowledgment
By registering for the Retreat and submitting payment, the participant acknowledges that they have:

Read and understood this Cancellation & Refund Policy;

Understood that payments are generally non-refundable;

Understood that personal circumstances do not ordinarily qualify for a refund;

Been advised to obtain appropriate travel insurance;

Understood that force majeure or extraordinary-circumstance requests are reviewed individually and are not guaranteed;
-
Agreed to comply with the Retreat's other terms, conditions, waivers, and participation requirements.
This policy forms part of the Retreat registration agreement and should be reviewed together with the Retreat's Participant Agreement, Liability Waiver, and any applicable disclosures.
